Digital File Naming System Guide
A file name should help future you understand what something is before opening it. Good names make search, sharing, and archiving much easier.
Why file names matter
Most people only care about file names when they cannot find something. Downloads, screenshots, invoices, school files, client drafts, scans, and photos pile up with names like final.pdf, image.png, document copy, and scan 3. The file may exist, but it is hidden behind a bad label.
A practical naming system does not need to be complicated. It should answer a few questions quickly: what is this, who or what is it for, when was it created or relevant, and what version or status does it represent?
Use a simple pattern
A useful pattern is date - topic - descriptor. For example: 2026-08-19 - travel insurance - policy.pdf, or acme-project - homepage-copy - draft-v2.docx. Dates work best in year-month-day order because files sort correctly across months and years.
For personal files, include the category: tax, passport, lease, warranty, receipt, school, medical, travel, or home. For work files, include client, project, deliverable, and status when helpful. Avoid vague words that only make sense today.
Keep names readable across systems
Use plain words, hyphens or spaces, and common file extensions. Avoid special characters that may behave differently across cloud drives, operating systems, and shared tools. Long names are fine when they clarify, but do not turn every file into a sentence.

Do not rename everything at once

For photos, album names may be more useful than renaming every image. For downloads, clear the folder regularly and move important files into named folders. The system should reduce effort, not create a new chore.

File names are only one layer. Use folders for broad areas and search-friendly names for details. A folder like Finance/Taxes/2026 plus a file named 2026-04-15 - tax payment confirmation.pdf is far easier to trust than a desktop full of mystery PDFs. Good naming is a small habit that compounds every time you need to find, share, or prove something quickly.
