How to Declutter Cloud Storage Without Losing Files

Declutter cloud storage safely by finding large files, separating originals from copies, checking sharing, exporting important data, and deleting in stages.

Understand what the cloud copy is doing

Before deleting anything, determine whether a file is an original, a synchronized copy, a backup, or a shared reference. Deleting a synchronized file may remove it from other devices. Removing a backup may leave you with no recovery option. Read the provider's description of trash, version history, and permanent deletion.

Start with storage reports and sort by size, age, or file type. Large videos, duplicate exports, old installers, and device backups often explain the total. Open representative files before removing a group. Use meaningful folder names and dates so you can recognize a file later.

Review access as you clean

Shared folders and links may still expose old material. Check who can view or edit important folders and remove access that no longer has a reason. Export records you must retain before closing an account or changing a plan. Keep a separate backup of irreplaceable documents and photos.
