How to Write a Resume That Is Easy to Scan

A resume has to work before it is read closely

Hiring teams often make a quick first pass through many resumes. A strong resume does not need flashy design. It needs to make your level, relevant experience, and useful evidence easy to find. Start by choosing the kind of role you are seeking, because a resume that tries to fit every job usually says little about any of them.

Put your name, location or time zone, contact details, and relevant links at the top. Add a short summary that explains what you do and the problems you have worked on. Avoid vague claims such as “hard worker” unless the following evidence shows what that means in practice.

Write bullets around evidence

Each experience bullet should help a reader understand the situation, your contribution, and the result. Mention scale, speed, quality, revenue, users, time saved, or another meaningful outcome when you can support the number. If a result cannot be measured, describe the change clearly: reduced manual steps, improved reliability, clarified ownership, or delivered a project across regions.

• Use strong verbs and remove filler phrases.
• Keep the most relevant experience detailed and older work concise.
• Use keywords from the job description only when they truthfully describe your work.
• Check dates, titles, links, and contact details before sending.

Make the document comfortable

Use headings, consistent spacing, and a readable font. Avoid dense columns, decorative graphics, tiny text, and important information inside images. Export a PDF and test that text can be selected and links can be opened. Read the file on a phone as well as a laptop; a recruiter may first see it in either place.

A resume cannot tell your whole career story. Its job is to earn a closer look by making the relevant story clear, specific, and easy to verify.
